School Secretary/Administrative Assistant
Responsibilities: Include (But are not limited to):
- Contribute to a welcoming and inclusive office culture;
- Organize, maintain, track, and copy student files and records;
- Using current technology, prepare correspondence, reports and notices;
- Use the telephone, e-mail, fax or other means to communicate with parents and outside agencies;
- Data entry and retrieval of student records and information using our Student Information System software;
- Maintain student attendance, tardiness, and dismissals; run reports and update principal;
- Assist students, parents, and others by telephone or in person with general school-related inquiries;
- Maintain offices supplies and forms;
- Where necessary, assist school staff with follow-up and problem solving;
- Maintain confidentiality of student records and information;
REQUIRED:
- High school diploma or equivalency;
- Proficient in Microsoft Office, Google Applications, word-processing, email and the ability to access and use the Internet;
- Excellent interpersonal and communication (verbal/written) skills;
- Demonstrated organizational skills;
- Ability to maintain confidentiality of student records and information;
- Ability to work in a fast paced environment and respond to the needs of parents, students, principal, and staff;
- Collaborate with the Business Manager, building principal, and others to facilitate efficiency in the Main Office;
- Minimum two years of administrative support experience;
- Pleasant and courteous telephone manner;
- One who is punctual, dependable, and trustworthy.
- One who displays a cheerful, respectful, and pleasing personality when working with others.
- One who has a great love for children.
- One who can be firm, but at the same time gentle and tactful.
- One who is able to work in harmony with the administrator while supporting his decisions.
- One who shows pride in the school, in the students, and in the teaching staff.
- CPR/First Aid Training
- Familiarity with Fast Direct and FACTS software
- Experience with WI School Choice and Federal Lunch programs
- Answer phone and deliver messages to students/teachers
- Maintain and coordinate the school master schedule and calendar.
- Manage recording and reporting daily attendance and call home if unexcused children.
- Manage and report student immunizations and administer medications as needed
- Prepare weekly Newsletter in print and electronic format for families.
- Create programs and flyers for school events as needed.
- Work closely with the administrator to produce promotional materials for prospective families.
- Have a teachable spirit, willing to learn.
- Process family cafeteria deposits into Fast Direct.
- Process purchase orders for textbooks, school supplies, and teacher supplies
- Daily, verify lunch and milk orders and charge family accounts in Fast Direct.
- Monthly, complete Federal Lunch program reimbursement requests
- Enter family monthly tuition payment plans in FACTS
